Privacy policy

Luna Business Support ("we", "us", "our") is committed to protecting your privacy and handling your personal data lawfully, fairly and transparently in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Luna Business Support is the data controller for personal data collected through this website. If you have any questions about this policy or how we use your data, please email luna.businesssupport@gmail.com.

What data we collect

When you contact us or visit this site, we may collect:

  • Contact details you give us — your name, email address, phone number and the content of any message when you email or call us.
  • Technical and usage data — IP address, browser type and version, device type, operating system, referring site and pages visited, collected via cookies and analytics tools where enabled.

Why we use it and our legal basis

  • To respond to your enquiry and provide services — legal basis: legitimate interests, and where applicable performance of a contract.
  • To improve the website and understand how visitors use it — legal basis: your consent (for non-essential analytics cookies) or legitimate interests where data is fully anonymised.
  • To meet legal and regulatory obligations — legal basis: legal obligation.

Cookies and analytics

Essential cookies are set to make the site function and to remember your accessibility preferences — these do not require consent. If we introduce analytics or performance cookies (for example to understand which pages are most useful), we will ask for your consent first through a cookie banner, and you will be able to withdraw consent at any time.

How long we keep it

  • Enquiry emails and contact details: up to 12 months after our last contact, unless we go on to work together.
  • Client records: for the duration of our work plus up to 6 years to meet HMRC and contractual requirements.
  • Analytics data: as set by the analytics provider, typically 14–26 months.

Who we share it with

We do not sell your personal data. We share it only with trusted providers who help us run the business, including:

  • Email and productivity providers (e.g. Google Workspace) to send and store messages.
  • Website hosting and analytics providers to deliver and improve this site.
  • HMRC, accountants or regulators where we are legally required to.

Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement.

Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete data.
  • Ask us to delete your data ("right to erasure").
  • Restrict or object to how we use your data.
  • Receive your data in a portable format.
  • Withdraw consent at any time where we rely on consent.

To exercise any of these rights, email luna.businesssupport@gmail.com. We will respond within one month.

Keeping your data secure

We use appropriate technical and organisational measures — including encrypted connections, strong passwords, two-factor authentication and access controls — to protect your data against loss, misuse and unauthorised access.

Complaints

If you are not happy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
